Music Boosters Minutes:

June 17, 2008

Music Boosters Meeting: Karen, Sheila, Gail and Lise

Minutes from previous meeting were read and approved Gail/Sheila

Financial Report: Read and approved Sheila/Gail

Business Arising from Minutes:

A) Pumpkin Fair Dinner: We are not going to do this for two reasons: no coordinator volunteer and health regulations are too complicated to follow.

B) Arts Appreciation: Excellent evening of music and art.

Minor glitches only.  Admin and staff have a list of recommendations from their meeting and from Music Boosters Committee regarding pros and cons of year end concert vs arts appreciation event.

C) Next Year’s Music Trip:  Spring 2009

Red Deer has been recommended based several reasons: student input, fundraising is attainable, knowing what to expect…

Admin supports this recommendation, as do the music boosters.

Trip to Red Deer will be enriched with as many different kinds of performances and workshops possible along the way (using the format tested this year with the local tour).

.

If parents know of any schools etc from here to Red Deer who may welcome our students please feel free contact Lise McNair and offer suggestions.  Lise will also look into contacting divisional music consultants, etc.

A Band Leadership Team comprised of Band students representing each grade level in the program will once again be set up to be involved in planning the details of the trip.  Plans are being made to expand the role of this student leadership group in a variety of areas in the music program.

Efforts will be made to begin planning early so that wherever possible, local partners such as travel agency can be approached for options

D) ******* We need a new treasurer for the fall ******

A  H U G E thank you to Sheila for three dedicated years of doing the books. Sheila will stay on the committee to help. Elections in fall. Please volunteer.

E) Donelli Fundraising Campaign: Gail will have forms ready Sept 15 with delivery for Oct 23 (not Thanksgiving as discussed at this meeting) Gail has worked it out with Donelli rep (Sean) as of June 17. We sampled the Donelli stuff at this meeting and they carry excellent products many of which are not available in stores.

G) Cheese: Yes, so many of us love the Bothwell cheese and we will be selling it for Dec 2008 just in time for Christmas. (Dec 1st)

H) Provincial Honours Choir: Listen online, especially to Erica's solo in "Sister Act" (she is the first one) .... www.manitobasings.org   follow the links to Provincial Honours Choir, go down to the Junior Choir and click on "Sister Act".

I) 2008-9 CMYC Congratulations to the 3 CC students who successful auditioned for this wonderful South Central Choir: Quinn, Jeremy and Joel (any others?).

J) Other Important Dates

Drama: School decision to move Drama to December instead of in the Spring

Possibly Tempo Band Day will be in February 2009 rather than April pending the June Tempo Committee meeting. School division teachers and admin think this is great if possible date.

September Band Workshop will be worked out to replace the cancelled April 2008 date (weather)

Booster Meeting

4:30 p.m., May 5, 2008

Carman Collegiate

Present:  Lise McNair, Clint Rivest, Sheila Kent, Karen Tjaden, Karen McGill, Allison Abbott-Wiebe

Correspondence:  Karen read a letter that was sent by a grade 9 student thanking us for having the clinicians.

Minutes of the last meeting (Planning meeting for trip) were read.  A motion was not made to approve them as they were for information only.

Sheila presented her financial statement.  A separate accounting of the band trip was given.  Clint has some refund money as some events came in under budget!

Sheila moved, Allison seconded that the financial report be accepted as presented.  All in favor/carried.

Clint gave a recap of the trip.   It sounds like a good time was had by all except for some minor illnesses.  The performances continued to improve throughout the trip and the kids got to perform for different audiences.  Feedback forms will be going out to the kids to help with planning for next year's trip.   The hope is to have dates/locations etc. planned by the end of June to help avoid conflicts with other school events.  This will also give time to arrange for parent chaperones.  Without parent chaperones a longer trip cannot occur.  Possibilities for the trip include Red Deer or Thunder Bay.  Thank you to the staff who went along on this trip as chaperones.

Arts Appreciation concert will be June 10th at 7:00 p.m. at the Collegiate.  Discussion followed regarding the need for extra chairs, the air conditioning/fans to be on, and where kids who are not performing should be.  Lise and Clint will look into this.

Next year choir will be a scheduled class  for credit again.

Discussion regarding the storm day for Tempo Festival.  Rescheduling this day is not possible at this time of year.  Lise has spoken to the adjudicator who was to be here on the Tempo day and he is willing to do a workshop in the fall with Carman, Miami, Elm Creek and Elie band students.

Scholarship:  As there are no grade 12 students this year a discussion was held about the possibility of giving financial support to students going to International Music Camp.  It was decided that there are alternate options for funding for this camp (Tempo bursaries, Golden Prairie Arts) and that we should hold the scholarship fund for next year.

Motion:  Sheila Kent/Karen Tjaden.  As there are no grade 12 students this hear we will withhold the scholarship money for the 2008 school year and do two scholarships for the 2009 graduating class.  Carried.

Thursday evening is the grade 6 instrument selection night.  Long and McQuade will be present.  A parent night will follow.  Clint will let Karen know when the parent's night is so that she can be present to explain the Music Boosters.

Fundraising:  Gail was unable to be at this meeting with food samples from Donnelli(very disappointing to all!!!)  This fundraiser is still a possibility for early fall.  Allison is following up on the card fundraiser.  The Pumpkin Fair supper is a big fundraiser (1st weekend of October)  WE MUST HAVE A COORDINATOR FOR THIS EVENT!  There are very good notes from last year so if someone is interested in helping coordinate or co-coordinate it would be greatly appreciated.

Uniforms:  A question was raised about the uniform policy and how it is enforced.  We talked more about the possibility of ties/scarves or some other way of tying the uniform together.  The uniform policy will once again be explained on the supply lists and the band handbooks for all band students next year.  We discussed the importance of a band looking good when they perform.  In many instances the uniform is part of the overall adjudication process.
